Yes really! All you need to do is follow the instructions via our videos and you should be off to the races.
The add-in primarily works with customer and/or vendor related data. For your order team you can show any customer related data such as customer info (balance, credit, limit, overdue balance, comments, etc), contacts, and up to two transaction searches. For your procurement team you can show any vendor related data and transaction searches (i.e. open purchase orders).
The add-in can be installed directly into Outlook from Microsoft’s add-in store or deployed by your IT team through centralized distribution. In addition the Smartes NetSuite for Outlook bundle needs to be installed in your account. Once installed, the domain will need to be verified at a minimum for users to use the add-in.
There are some steps to enable to add-in. The first step if to verify domain ownership which will enable retrieving data from NetSuite. For the data retrieval, administrators can configure their own fields and records to display by configuring the Smartes Outlook Profile records in NetSuite.
Yes. All data flows through secure, encrypted connections between Outlook and NetSuite. Other than metadata (like NetSuite account id, Outlook account id, domains, email ids, etc), data is not stored outside of NetSuite. The add-in respects NetSuite’s role-based access controls through the integration role.
No. The add-in is designed to extend NetSuite into Outlook for convenience. For advanced tasks and system administration, users will still log into the full NetSuite interface.
For data retrieval or syncing emails, you do not need separate NetSuite user licenses. Rules are configured via the Smartes Outlook plugin.
Yes you can disable email syncing in various ways. The first way is you can skip the Outlook authorization step which will keep Outlook emails and NetSuite disconnected. Alternatively, you can remove the required permissions from the suitelet for email syncing which will disable it from the plugin. If you only want to disable syncing attachments then only the Documents and Files permissions need to be removed.
