NetSuite gives businesses a powerful platform for managing financials, transactions, operations, and customer information. However, even a comprehensive ERP system can leave users with small process gaps that create unnecessary manual work. One common example is downloading transaction records as PDFs.

NetSuite’s standard print-to-PDF process may generate files with generic names that do not follow the company’s preferred naming conventions. Users must then rename each downloaded document manually before they save, organize, or share it.

Smart PDF Export offers a faster and more consistent NetSuite PDF export process. It allows users to download records directly as PDFs with file names automatically generated from selected NetSuite fields.

The Problem with Standard NetSuite PDF Downloads

The standard process for downloading a NetSuite record typically involves selecting the Print option and saving the generated document as a PDF. Although the process is familiar, the resulting file name may not reflect the information users need to identify the document outside NetSuite.

Many businesses configure transaction numbers and other record fields to follow specific internal standards. However, NetSuite does not always include those values in the downloaded PDF file name. Instead, it may assign a generic identifier to a sales order, invoice, or purchase order rather than using the company’s preferred transaction number, customer reference, or record description.

As a result, users may need to rename PDFs manually after every download. This creates additional work and can lead to inconsistent file names, misplaced documents, and difficulty identifying records in shared folders.

For businesses that regularly download and distribute NetSuite transaction PDFs, a small inconvenience can quickly become a recurring administrative burden.

A Better NetSuite PDF Export Process

Smart PDF Export replaces the standard print-and-save process with a direct and configurable PDF export option.

With one click, users can generate and download a NetSuite record as a PDF. The solution automatically creates the file name using the naming convention configured by the business, helping ensure that each document is clear, consistent, and ready to use.

Instead of accepting a generic file name or renaming the document manually, users can receive a PDF that includes relevant NetSuite information such as the transaction type, transaction number, customer, or reference number.

This makes downloaded records easier to organize, locate, and share with customers, vendors, and internal teams.

How Smart PDF Export Works

Smart PDF Export integrates directly with NetSuite, and administrators can configure it for any transaction records that require a faster PDF download option.

  1. Script Deployment: Smartes provides a Suitelet and User Event script that are deployed within the NetSuite account to support the Smart PDF Export functionality.
  2. Custom File Naming: Administrators configure the preferred naming convention through the script deployment. NetSuite parameters such as type, tranid, entity, otherrefnum, and custbody_tranname can be arranged to create the required file name.
  3. Direct PDF Export: With the naming conventions set, using the solution is a breeze. Simply click the button set on the NetSuite record, and the PDF is downloaded immediately, reflecting your specified format.

The process allows businesses to maintain their preferred document naming standards without requiring users to rename every exported PDF.

Installation Instructions

Installing Smart PDF Export in NetSuite is a straightforward process:

  1. Download the Scripts: Smartes Solutions will provide you with access to download the necessary scripts. These include a Suitelet and a User Event script.
  2. Upload the Scripts: In NetSuite, navigate to the Script Deployment section. Upload the Suitelet and User Event scripts provided by Smartes Solutions.
  3. Deploy the Scripts: After uploading, deploy these scripts to the specific record types where you want the download button to appear. This will enable the download button to function correctly on those records.
  4. Configure Naming Conventions: Go to the script deployment and enter your desired naming convention into the Parameters > Name Override field. Use parameters such as type, tranid, entity, otherrefnum, and custbody_tranname in any order to receive the desired naming convention.

After the configuration is complete, authorized users can begin exporting clearly named PDFs directly from supported NetSuite records.
